Position Overview
The Project Coordinator for IT & Strategic Initiatives is a high-impact senior role focused on the intersection of capital project delivery and technical infrastructure alignment. Based in Newark, NJ, this hybrid position is essential for supporting the Capital Department and Police-driven strategic initiatives. The successful candidate will provide comprehensive coordination and delivery support, with a heavy emphasis on IT scope definition, technical documentation, and the management of cross-functional dependencies. This role is pivotal for ensuring that technology requirements are met for major organizational readiness efforts, including high-profile events like the FIFA World Cup 2026.
Key Responsibilities
- Support the planning, scheduling, and milestone tracking for Capital Department and Police-driven capital projects.
- Track and manage project actions, risks, issues, assumptions, and dependencies (RAID) to ensure timely resolution and mitigation.
- Prepare and maintain critical project documentation, including status reports, executive dashboards, and meeting materials.
- Coordinate with internal departments, law enforcement stakeholders, external partners, and technology vendors to ensure project alignment.
- Provide coordination for strategic IT initiatives, including multi-department programs and innovation workstreams.
- Support the development of IT scope documentation, high-level solution descriptions, and system inventories.
- Document functional and non-functional requirements, including system availability, performance, security, and data reporting needs.
- Coordinate the creation of technical artefacts such as requirement traceability matrices, interface inventories, and integration diagrams.
- Support change control processes related to IT scope, ensuring impacts to cost, schedule, and operations are communicated.
- Work with stakeholders to elicit and validate business and operational IT requirements, translating them into structured documentation.
- Support data governance efforts, including data flows, ownership standards, and system integration reporting.
- Assist with the coordination of testing, operational readiness, and handover activities for IT-enabled solutions.
Technical Scope and Environment
The Project Coordinator must navigate a complex technology landscape. This includes infrastructure systems such as servers, networks, and cloud platforms, as well as specialized communication systems like voice, radio, and networked data communications. Furthermore, the role involves passenger-facing technologies such as digital signage, access control, and customer information systems. The coordinator is expected to interpret system architectures and interface diagrams to support planning and dependency management across infrastructure, cybersecurity, and operational technology workstreams.
Qualifications and Experience
Candidates must demonstrate significant experience supporting IT-enabled projects or large-scale public-sector initiatives. A proven ability to understand and document complex technology environments is required. Strong analytical and organizational skills are essential for managing multiple priorities in a multi-stakeholder environment. Preferred qualifications include experience supporting police, public safety, or transportation organizations, as well as familiarity with enterprise IT environments and data governance concepts. Knowledge of project management methodologies such as PMBOK, Agile, or hybrid environments is highly desired.

Compensation & Location
Salary: $95,000 – $135,000 per year (Estimated)
