About the Role:

We are seeking a dedicated and detail-oriented IT Asset Management (ITAM) Administrator to oversee the lifecycle of all IT assets for Baltimore City Public Schools. This critical role ensures accurate inventory tracking, compliance with procurement and disposal policies, and alignment with IT Service Management (ITSM) best practices. The administrator will manage asset intake, tagging, assignment, monitoring, and disposal workflows using a variety of industry-standard tools.

Key Responsibilities:

  • Asset Lifecycle Management: Maintain a comprehensive and up-to-date inventory of all IT assets across 129 schools and 10 remote offices. Ensure data accuracy and strict adherence to FISMA retention policies.
  • Asset Intake & Reconciliation: Oversee the entire asset intake process, including the meticulous reconciliation of packing slips, serial numbers, and purchase orders, primarily utilizing Oracle Fusion.
  • Asset Tagging: Manage the asset tagging process, which includes manual tagging for specific devices like Apple products and efficient bulk uploads for large-scale deliveries to ensure all assets are properly identified.
  • Procurement & Documentation Support: Validate vendor asset files on a biweekly basis, ensuring all necessary fields are accurately completed before uploading them into the ITAM system. Track and meticulously document all asset status changes, including assignments, repairs, disposals, and replacements.
  • Collaboration with Procurement: Work closely with procurement teams to establish and maintain closed-loop asset tracking from acquisition to disposal, ensuring seamless payment processing and financial accountability.
  • Monitoring & Compliance: Utilize management consoles such as Google Admin, Apple School Manager, and Microsoft Intune to actively monitor device health, compliance status, and user activity. Investigate and remediate any inactive or non-compliant devices, documenting all replacements and related incidents.
  • Security & Incident Documentation: Ensure proper and thorough documentation for lost or stolen devices, including the creation of police reports and internal service tickets as required.
  • Disposal & Record Retention: Manage the complete asset disposal workflows, including the handling of certificates of destruction and direct vendor transfers. Ensure all disposal documentation is retained indefinitely in secure cloud storage to meet stringent compliance standards.
  • Audit & Reporting: Conduct regular biweekly audits of vendor submissions and perform comprehensive annual summer inventories to verify asset data. Support onsite device verification efforts and contribute to the development of future enhancements for school-based audit participation.
  • Process Improvement & SOP Development: Collaborate on the updates of ITAM Standard Operating Procedures (SOPs) to align with the overall ITSM strategy. Generalize system references within SOPs for future-proofing and scalability. Define and document clear workflows for asset disposal, audits, and disaster recovery planning.

Qualifications:

  • Education: A Bachelor’s degree in Information Technology, Business Administration, or a related field is preferred.
  • Experience: A minimum of 3 years of hands-on experience in IT asset management or related IT operations roles.
  • Tool Familiarity: Demonstrated familiarity with ITSM frameworks and key tools such as Ivanti, Oracle Fusion, Microsoft Intune, and Google Admin.
  • Skills: Possess strong organizational skills, exceptional attention to detail, and excellent documentation abilities.
  • Collaboration: Proven ability to manage multiple priorities effectively and collaborate productively across different departments and stakeholders.

Compensation & Location

Salary: $75,000 – $95,000 per year
